Schedule Youth Practices Online

During basketball season, the elementary and high school gyms are used by a number of school and youth teams.  Mead’s policy for gym use by youth teams states:  All practices or games must be scheduled on the office calendar in the building of the gym being used prior to each use in an attempt to avoid conflicts. Please remember that the school sponsored teams will have priority at all times and due to schedule changes, we may need to move your scheduled time or date.

Currently, a paper calendar is located outside the elementary gym for sign up purposes.  Coaches write their team and times on that calendar.  While we do have a paper calendar in the high school office, it is to use for scheduling because the office is often locked during evening practices.

To make the reservation of gyms easier, we are taking a giant leap from our paper calendars to online calendars.  Obviously, coaches will need internet access to access the calendars, but we are assuming that coaches have internet access.  In case a coach does not have internet access, he or she can call Jessica at the elementary secretary’s office (402 624-6465) to have times scheduled.

There will be a calendar for both the elementary and high school gym.  The calendars will operate on a first-come, first-served basis.  Only the coach who scheduled a practice time can edit or delete those times.  However, the school will have the ability to edit the calendar for any coach or scheduled activity.  There is also an app for those who may use the calendars often.  Search for “Teamup Calendar” to locate the app.  The links will also be on the school website and Mead PTO Facebook page.

Here are a couple suggestion for gym use.  One is to limit practices to a maximum of 1.5 hours.  This way, at least two practices could occur at the elementary following junior high practice, which usually ends around 5:15.  An early practice could go from 5:30-7:00, and a late practice could go from 7:00-8:30.  If a team schedules the gym from 6:30-8:30, for example, it becomes difficult for other teams to practice.  Because of the early-late schedule for high school boys and girls practices, any weeknight practices at the high school would start later than we would like as a school district.  Another suggestion is to give some priority to sports that are in season.  For example, if the high school is still playing volleyball, our youth volleyball teams should have some priority over other sports.

I copied Board of Education Policy 1330a below.  This policy will be revised at the December Board meeting to make item one fit with the use of the online calendar.

 

USE OF SCHOOL FACILITIES

The Mead Public Schools will allow local youth teams and individual patrons to use the gymnasium based on the following agreement and payment of a $50 key deposit:

 

The adult who checks out this key will be responsible for the following:

1. All practices or games must be scheduled on the office calendar inthe building of the gym being used prior to each use in an attempt to avoid conflicts. Please remember that the school sponsored teams will have priority at all times and due to schedule changes, we may need to move your scheduled time or date.

 

2. Unscheduled use will be permitted if gym is not in use. Please call 624-3435 for the high school gym and 624-6465 for the elementary gym and leave a message stating your name, date you are using the gym and the approximate time you plan to be in the gym. Everyone is to be out of the gym and buildings by 10:00 PM.

 

3. The building is to be secured at the end of each use. All lights turned off (except for security lights) including restrooms, hallways and gym, make sure doors are latched and locked, equipment and

trash picked up, and that everyone has left the building.

 

4. The sponsor is responsible for the conduct of anyone they allow to enter the building while it is under their supervision. Please do not allow children to play or bounce balls in the hallways. They are to

remain in the gym. The sponsor is responsible for damage to the building caused by those in the building while they are supervising.

 

5. No one will be allowed or left in the building without the sponsor present.

 

6. Failure to follow the above rules will result in the loss of privileges and forfeiture of key deposit.

 

In addition, the gyms may be used for baseball and softball practices according the following in case of inclement weather upon the payment of the $50 key deposit. The Elementary gym is the preferred site for ball association teams to practice.
